Define the reference that survives
Use the identifier inventory, service, or billing actually searches, then prove that it connects the physical item to its status.
Keep evidence beside the decision
Clarify which condition, packaging detail, or mismatch must be visible before choosing a next step. An observation is not an automatic conclusion.
Name the first owner
Separate returns that can follow a routine path from those needing inventory, quality, service, or billing review.
Run a later lookup
After the item moves, ask another role to find the same record. That test shows whether the handoff works away from the bench.
